Overview
The Administrative Assistant, reporting to the Natural Resources Manager is responsible for providing administrative and financial support to graduate students, MSCF and PHD Coordinators within the Faculty of Natural Resources. This position involves preparing reports, maintaining graduate student records, tracking trends, processing financial documents, managing reimbursements and assisting with account reporting, invoices and payments. Natural resources management is the stewardship of both public and private (mainly) forested landscapes, intending to balance ecological sustainability, economic viability, and societal acceptance of prescribed land use.
Responsibilities
- Provide support for Graduate students and MSCF (Master of Science in Forestry, Thesis & course-based) & PhD Coordinators.
- Administrative activities include preparing reports, tracking trends and maintaining graduate student files.
- Preparing & processing all financial documents, reconciling financial reimbursement, and purchases online requisitions accessing all Faculty of Natural Resources operating general ledger codes for Dean’s approval.
- Reception activities include arrangement of field school bus rentals, and logging key inventory.
- Financial transactions including processing travel and expense claims, monthly account reports and assistance with account payables and payments of invoices.
Qualifications
- Post-secondary education in Business Administration.
- 6 months – 1 year work experience.
- Proficiency in Microsoft Office, Adobe, Google Drive/Email, Google Sheets.
- Excellent organizational and time management skills.
- Ability to multitask and work under tight deadlines.
- Ability to work in a team setting and independently.
- Be flexible, adaptable, and capable of working and problem-solving on short notice.
- Excellent interpersonal skills.
