The salary range for this position is
- Recruitment range: $72,242 to $79,650. Starting salary is determined in accordance with the PEA Collective Agreement.
• Performance range: Up to $93,951. Progression beyond the recruitment range is available through annual performance increases, in accordance with the PEA Collective Agreement.
Job Summary
Mandate
Reporting to the Scholarship Administrative Officer, the Faculty of Graduate Studies (FGS) Scholarship Officer (SO) is responsible for the administration of internal and external graduate scholarship programs to help students secure funding for graduate student research. This position is responsible for development of communication memos and templates used by members of the scholarship team and collection and analysis of statistical information related to graduate funding.
The FGS Scholarship Unit is responsible for the overall administration of UVic ($8 million), donor funded ($2.0 million), federal research scholarships (+12 million) and multiple other sources of graduate funding. The FGS scholarship team support graduate student recruitment, retention and research success by providing accurate and timely guidance to graduate students, faculty members and Graduate Advisors, that directly affect their ability to secure funding for their research and indirectly impact their career advancement.
Objectives
- facilitate a fair and objective adjudication process for federal and provincial graduate scholarships
- develop strategies to resolve conflicts of interest, disagreements or appeals related to graduate student funding
- support student scholarship applicants by advising on eligibility and application completion and compliance
- maintain accurate scholarship records, oversee payments
- prepare statistical and financial reports that inform institutional decision-making and uphold UVic’s reputation as a research-intensive university
Working conditions
- requires periodic long hours of detailed data review, high volume of work with multiple clients in condensed time frame, and ability to work additional hours to meet deadlines.
This position requires a level of education, training, and experience equivalent to a bachelor’s degree plus minimum of 5 years of related experience in a post-secondary environment or granting agency. An equivalent combination of education, training, and experience may be considered. Experience must include research administration, writing for scholarship applications including research proposals, scholarship adjudication and data collection and analysis.
Knowledge, skills and abilities include:
- commitment to valuing diversity and contributing to an inclusive and respectful working and learning environment
- knowledge of UVic Financial Services policies, FAST and accounting principles and best practices
- experience with bookkeeping and knowledge of principles in accounting
- knowledge of Tri-Agency and other funding agency policies
- demonstrated proficiency with information/communication technologies, data management and analytical tools
- experience using complex databases and managing accurate student records (Banner preferred)
- excellent analytical, critical thinking and problem-solving skills with sound judgement in applying regulations
- superior interpersonal communication skills, both written and verbal, including public speaking
- demonstrated ability to develop accessible materials and events that meet best practices in design and inclusion
- ability to build and maintain productive working relationships with all stakeholders and tactfully respond to feedback
- excellent time management skills and the ability to prioritize tasks to meet multiple overlapping deadlines and high volumes of work and changing priorities
- ability to understand university practices and procedures to locate/interpret policies as required
- ability to read and interpret academic transcripts from domestic and international institutions
