Position Summary

Reporting to the Executive Assistant to the Head of School, the Receptionist is a welcoming and highly organized professional who plays a key role in shaping the daily experience of our Senior School and Boarding community. As the first point of contact for visitors, students, families, and staff, this role brings warmth, professionalism, and exceptional customer service to every interaction, helping to create an inclusive and positive campus environment.

This role provides frontline reception and administrative support, ensuring the smooth operation of the school’s main office while contributing to a collaborative and student-centered community. This is a term position that follows the academic year, working full-time hours from September through June with time off at breaks when the School is closed (i.e., Spring, Winter, and Summer).

Responsibilities include

  • Answer, screen, and forward incoming phone calls.

  • Manage daily student attendance, which involves communicating directly with students, parents, and faculty.

  • Greet and assist students, parents, and visitors.

  • Monitor the school's general information email account.

  • Maintain current phone lists, school contacts, and essential information for reception.

  • Handle incoming/outgoing couriers and assist with mail distribution, including operating postage machine.

  • Receive and distribute deliveries for students and staff.

  • Coordinate exam invigilation and room booking as needed throughout the year.

  • Maintain the reception procedure manual.

  • Maintain the highest level of confidentiality and discretion when handling sensitive employee, student, family, and organizational information.

  • Compile and distribute daily school announcements.

  • Provide support to the Senior School Director’s office and other departments as necessary.

  • Support the coordination of the evening testing centre.

  • Other duties as required.

Experience and Qualifications

  • Minimum High School Diploma; Certificate in Office Administration or Office Assistant is an asset.

  • Minimum of 2 years related experience.

  • Exceptional customer service skills with a personable and professional telephone manner.

  • Excellent written and verbal communication skills.

  • Proficiency in Microsoft Office, including Outlook, Word, and Excel.

  • High level of attention to detail.

  • Proactive and analytical problem solver.

  • Enthusiastic, energetic, a self-starter with the ability to work independently and as a collaborative team member.

  • Excellent organizational, multi-tasking, and time management skills.

  • Experience with couriers and mail distribution duties.

  • Previous experience working in a school setting is an asset.

Pay Range

Hourly pay range: $20.51 to $30.77 per hour.

Criminal Record Check

Must pass and maintain a clear Solicitor General criminal record check for the purpose of working with children.
