We are a growing multidisciplinary mental health centre serving individuals, couples, families, military members, Veterans, first responders, and the broader community across Kanata, Gloucester, and Pembroke, Ontario.
Our team of psychotherapists, social workers, and specialized mental health professionals is committed to providing thoughtful, evidence-informed care in a welcoming and professional environment.
We are currently seeking a Full-Time Mental Health Clinic Administrator to join our Gloucester location.
This role is ideal for someone who is highly organized, calm under pressure, compassionate, and genuinely enjoys helping people feel supported during vulnerable moments.
Many people reach out to a mental health clinic during difficult or emotionally sensitive times. As one of the first points of contact, you will play an essential role in creating a warm, respectful, and seamless experience for clients while helping our clinic run smoothly each day.
What You’ll Do
- Welcome and support clients in person, by phone, and by email with warmth and professionalism
- Manage appointment scheduling, rescheduling, cancellations, and waitlists
- Support client intake and onboarding processes
- Maintain accurate records and confidential documentation
- Process payments and assist with billing inquiries
- Coordinate clinic communications promptly and compassionately
- Provide day-to-day administrative support to therapists and clinicians
- Help maintain an organized, calm, and welcoming office environment
- Contribute to a positive, collaborative, and client-centred team culture
What We’re Looking ForRequired Qualifications
- Minimum 2 years of administrative experience
- Strong organizational skills and exceptional attention to detail
- Excellent written and verbal communication skills
- Professional, compassionate, and client-focused approach
- Ability to balance multiple priorities while maintaining a calm and organized presence
- Strong technology skills, including Google Workspace
- Reliable, punctual, and comfortable working independently
- Comfortable supporting clients in emotionally sensitive situations with professionalism, empathy, and calm communication
Preferred Qualifications
- Experience in a healthcare, mental health, medical, or allied health setting
- Familiarity with Jane App or similar practice management software
- Experience with client intake, scheduling, and insurance administration
- Bilingualism (English/French) or additional languages considered a strong asset
