What You Will Accomplish With Us

As an Executive Assistant, you will be at the heart of our mission. Here are the main responsibilities:

  • Manage calendars, emails, calls, and activity schedules for the Vice President and certain members of the leadership team;
  • Coordinate and plan business travel arrangements;
  • Manage expense reports and monitor associated budgets;
  • Perform administrative tasks in support of the team (preparation of letters, tables, charts, presentations, proofreading and editing texts);
  • Draft correspondence and emails on your own initiative or based on instructions or notes;
  • Manage security access and install the software used by the team;
  • Validate the management of regulatory and operational risks;
  • Receive and process invoice payments, validate information, and enter data into the appropriate accounting systems;
  • Perform monthly monitoring of general expense budgets for accounting entries;
  • Manage the procurement of office supplies for the leadership team;
  • Plan and organize departmental meetings;
  • Provide support to team professionals in the execution of their duties;
  • Work closely with other administrative assistants within the organization;
  • Perform all other related duties.

What Could Accelerate Your Success In This Position

We are looking for a person who:

  • Has 3 to 5 years of relevant experience;
  • Has advanced knowledge of Microsoft Office Suite tools (Word, Excel, PowerPoint, Outlook);
  • Is recognized for their collaboration;
  • Stands out for their sense of priorities;
  • Demonstrates strong autonomy;
  • Is recognized for their organizational skills;
  • Has strong command of French and possesses an intermediate level of English, as the incumbent will be required to collaborate both orally and in writing with various internal and external English-speaking partners on a daily basis;
  • Holds a college diploma in office administration, administration, or other related fields (an asset).
