About the Opportunity

The YPO Manitoba Integrated Chapter is seeking a highly organized, relationship-focused, discreet, and proactive Chapter Manager to help the Chapter operate smoothly, professionally, and consistently with YPO expectations.

This is a high-trust support role for a volunteer-led board and senior executive membership community. The successful candidate will be comfortable managing multiple priorities, anticipating needs, coordinating high-quality experiences, communicating with professionalism, and handling sensitive information with discretion.

The role is best suited for someone who enjoys building relationships, creating thoughtful member experiences, managing details behind the scenes, and supporting a high-performing leadership community.

Key Responsibilities

· Partner with the Chapter Chair and Board officers to support the Chapter strategy, annual plan, governance rhythm, budget, and member experience.

· Coordinate Board, Chapter, Executive Committee, strategic planning, and other chapter meetings, including agendas, pre-read materials, minutes, follow-up items, and committee support.

· Coordinate and support learning, social, retreat, family, spouse/partner, YNG, and special event logistics in partnership with the appropriate Board officers and event/day chairs. Event/day chairs are expected to lead the event concept, design, budget direction, and member experience; the Chapter Manager provides professional coordination, administration, logistics, communication, and follow-up support, with more hands-on support as required by the complexity of the event.

· Coordinate event administration, including invitations, RSVPs, registration tracking, venue/vendor coordination, run-of-show support, seating, name badges, AV, guest logistics, gifting, evaluations, invoice/payment follow-up, and post-event wrap-up.

· Support membership processes with the Membership Officer, including prospect tracking, membership drive support, application administration, new member onboarding, directory updates, renewals, transfers, resignations, and member communications.

· Support Forum-related administration with the Forum Officer, including moderator/forum training logistics, forum data, attendance tracking, rosters, and related updates.

· Support spouse/partner, family, and YNG programming as directed by the Board, including communications, data management, event coordination, and access support for relevant chapter platforms.

· Support chapter finances in partnership with the Finance Officer, including budget administration, invoicing, collections, vendor payments, expense tracking, budget-to-actual reporting, and financial materials for meetings.

· Oversee chapter communications, including email announcements, local newsletters, member acknowledgements, event communications, general inquiries, and appropriate updates through YPO Connect or related platforms.

· Maintain chapter records, templates, calendars, databases, officer rosters, chapter history, files, processes, chapter health metrics, and continuity materials to support smooth officer transitions and annual planning.

· Act as a key liaison with YPO Regional and Global teams, including reviewing regional updates, supporting regional meeting preparation, sharing relevant YPO initiatives, and participating in approved Chapter Manager training or workshops.

· Maintain strict confidentiality, professional judgment, and discretion in all member, family, prospect, vendor, financial, and Board matters.

· Members, spouses/partners, guests, and prospects receive responsive, thoughtful, and professional support.

· Board and officer requests are organized, anticipated, tracked, and followed through on time.

· Events and meetings are professionally supported and executed in partnership with Board officers and event/day chairs, within approved budgets and with clear communication before, during, and after.

· Membership, forum, finance, calendar, and platform records remain current, accurate, and secure.

· The Chapter maintains continuity through officer transitions, annual planning cycles, regional/global reporting requirements, and busy seasonal periods.

· Relationship-driven, people-focused, and confident working with senior executives, volunteer leaders, members, spouses/partners, families, speakers, prospects, and vendors.

· Highly organized and detail-oriented, with strong follow-through and the ability to manage multiple moving pieces at once.

· Professional, discreet, ethical, and comfortable handling confidential information and sensitive situations.

· A proactive self-starter who can work independently, anticipate needs, solve problems, and keep priorities moving without constant direction.

· Strong communicator with sound judgment on when to use email, phone, video, text, or in-person communication.

· Customer-service oriented, with the ability to create a welcoming, polished, and high-touch experience.

· Calm and adaptable during busy periods, changing priorities, events, deadlines, and occasional ambiguity.

· Collaborative and comfortable supporting multiple Board officers while maintaining clear accountability to the Chapter Chair and Board.

Skills and Experience

· Minimum 3+ years of experience in executive-level administration, association or membership support, event coordination, operations, customer/member service, business administration, finance coordination, or a comparable role.

· Experience supporting a Board, committee, executive group, membership organization, entrepreneur-led community, or senior leadership environment is an asset.

· Strong event coordination and logistics experience, including registration, venue/vendor coordination, communications, budget tracking, and on-site support; ability to support event/day chairs without replacing their ownership of event concept, design, and delivery.

· Digital proficiency, including Microsoft Office or Google Workspace, spreadsheets, databases/CRM or member platforms, email tools, online forms, and basic reporting.

· Finance administration capability, including invoices, expense tracking, vendor payments, budget-to-actual reporting, or familiarity with bookkeeping systems such as QuickBooks or comparable software.

· Experience working remotely or independently with flexible hours is preferred.

· Familiarity with the Manitoba business community is an asset but not required.

· University degree, college diploma, or equivalent experience. Project management, event management, bookkeeping, association management, or similar certification is an asset.

Location, Schedule and Availability

· Remote/flexible work arrangement with attendance at in-person meetings, events, planning sessions, and chapter activities in Manitoba as required.

· Flexible part-time schedule, approximately 25-35 hours per week on average, with seasonal peaks based on chapter and regional events. Some weeks may be lighter and some may be significantly busier, including during membership renewal periods, out-of-town events, major learning programs, retreats, and planning deadlines.

· Availability for some evenings and weekends based on the chapter calendar.

· Occasional travel will be required for YPO regional, chapter, or Chapter Manager meetings/workshops if approved by the Board.
