Gift Processing & Legacy Assistant (Permanent, Full-time)

We’re looking for a detail-oriented team member to support donor relations and help ensure an exceptional donor experience at every stage of the giving journey.
As the Gift Processing & Legacy Assistant, you will play a key role in supporting the Foundation’s fundraising and stewardship activities through accurate gift processing, donor data management, and administration of the planned giving program and estate gifts. Reporting to the Finance Manager, this role helps deliver an exceptional donor experience while maintaining compliance with Foundation policies, Canada Revenue Agency and other regulatory requirements.

· Competitive compensation package; hiring range for this role is $47,000 - $53,000

Expected Outcomes
Accurate and Timely Donation Processing
o Process donations received through mail, online platforms, events, third-party sources, gifts-in-kind, and other fundraising activities
o Process tribute and memorial gifts, recurring gifts, gifts of securities, and other complex donations
o Ensure that donations are allocated to the correct funds, that amounts entered are accurate, and that CRA rules are followed when issuing tax receipts
o Monitor recurring donations and proactively address declined payments or expired credit cards
o Assist with generating receipts, reconciling donation reports and identifying discrepancies as required
Donor Experience and Data Management
o Support data integrity initiatives and ongoing database maintenance to ensure that constituent records are maintained accurately in the CRM (Raiser's Edge)
o Respond to inquiries related to donations, tax receipts, donor records, and ensure the delivery of meaningful donor acknowledgements and impact reporting
o Record and maintain donor communication preferences, recognition, and confidentiality requests
o Produce reports and donor lists as requested to support fundraising, stewardship, and financial activities
Planned Giving and Estate Administration
o Assist with the administration of estate gifts, bequests, life insurance proceeds, and other planned gifts
o Maintain records related to planned giving expectancies, estates, and legacy donors
o Coordinate documentation and correspondence with lawyers, executors, financial institutions, and family members
o Track planned gift commitments to ensure timely follow-up and ensure donor intentions are documented and fulfilled accurately
o Assist with donor recognition and stewardship activities related to legacy donors
Operations Support
o Provide administrative support for fundraising, stewardship, planned giving, and community engagement activities
o Assist with Foundation events and fundraising activities as required
o Participate in process improvement efforts to enhance efficiency, accuracy, and donor service

· Dependable – track record of good attendance, responsibility and reliability.
Must-haves
· Post-secondary diploma or degree, or an equivalent combination of training, and 1 – 3+ years experience in office administration, data entry, fundraising, accounting, or a related field
· Passion for transforming healthcare through giving
· Accurate and efficient in data entry and administrative skills
· Strong communication skills
· Proven track record of advanced computer skills in Microsoft 360 Office and quick to learn new software
· Experience with CRM systems (e.g., Raiser's Edge) and donor data management
· Demonstrated commitment to advancing equity, diversity and inclusion
· Ability to work occasionally on weekends and evenings and commute to the locations outside of FGGH office to attend events that will take place during this time.
Nice-to-haves
· Understanding of fundraising principles and philanthropic motivations
· Knowledge of charitable sector regulations and/or aptitude to learn
