Acuren is currently recruiting for an Inbound Sales & Commercial Coordinator to serve as the commercial engine room for the Western Canada Business Development team. This role owns the full inbound sales funnel from lead triage and qualification through deal progression support and CRM integrity while also driving event coordination, content management, and marketing collaboration.

The Inbound Sales & Commercial Coordinator acts as the primary operational partner to the Western Canada BD Manager and broader BD team, ensuring no lead goes cold, no deal goes stale, and no opportunity falls through the cracks. Success in this role requires proactive ownership, disciplined follow-through, clean data, and the ability to move fast in a high-volume commercial environment.

Role details

  • This role is on site in our Edmonton office. In 2027 this role will be based in Sherwood Park as the office is moving.
  • Full time permanent role, 40 hours/week
  • Travel may be required for events and client engagement

Responsibilities

Inbound Lead Management & Triage

  • Monitor and triage ***email_hidden***, Grasshopper, website submissions, and all shared inbound inquiry channels daily.
  • Qualify, route, and follow up on all inbound leads within defined SLA (target: same business day response).
  • Ensure timely CRM entry, lead source tagging, and documented next steps for every inbound inquiry.
  • Escalate high-value or time-sensitive leads to the appropriate BDM immediately.
  • Track and report on inbound lead volume, source, response time, and conversion outcomes weekly.

Deal Progression & BD Team Support

  • Support BDMs with proposal coordination, pre-meeting account briefs, follow-up sequencing, and deal stage advancement in HubSpot.
  • Proactively flag stale deals, no activity beyond defined thresholds, and escalate to the responsible BDM.
  • Maintain close date and probability discipline across the Western Canada pipeline.
  • Act as primary coordinator for the Western Canada BD team; support BDMs with research, account intelligence, and meeting prep.
  • Support cross-border handoffs and coordination between Canadian and U.S. BD teams as required.

CRM Ownership & Data Integrity & Reporting

  • Own HubSpot data quality for Western Canada, this role is accountable for CRM integrity, not just a contributor to it.
  • Conduct weekly deal stage audits and monthly full data scrubs to identify and correct incomplete, duplicate, or inaccurate records.
  • Maintain accurate and current customer, contact, asset, inspection, lead, and opportunity records.
  • Build and maintain dashboards that provide real-time visibility into pipeline health, BD activity, follow-up gaps, and regional performance.
  • Pull, consolidate, and analyze data from internal systems to support commercial planning and leadership decisions.
  • Develop and maintain bi-weekly pipeline and activity reports for the Western Canada BD team and leadership.

Event Planning & Coordination

  • Assist and coordinate BD participation in trade shows, industry conferences, and client events including logistics, registration, booth materials, and attendee management.
  • Execute pre-event outreach campaigns and post-event follow-up sequences to maximize lead capture and conversion.
  • Track event ROI including leads generated, meetings booked, and pipeline attributed to event activity.
  • Coordinate sponsorship commitments, deadlines, and deliverables.

Content Management & Marketing Collaboration

  • Maintain a BD content library including service one-pagers, capability decks, case studies, and proposal templates; ensure materials are current and accessible to the BD team.
  • Support SEO and digital lead generation initiatives by surfacing insights from inbound lead data and customer inquiries.
  • Collaborate with marketing to improve lead quality, reduce unqualified inbound volume, and align messaging to target accounts.

General

  • Conduct proactive outreach to support pipeline growth, validate customer needs, and uncover new opportunities.
  • Escalate issues, gaps, or decisions requiring leadership input in a timely manner.
  • Other duties as assigned.

Requirements

  • Post-secondary education in business, marketing, communications, a technical discipline, or equivalent work experience is preferred.
  • Experience in inbound sales coordination, business development support, CRM administration, event coordination, or a related commercial role is preferred.
  • Demonstrated experience managing a CRM platform (HubSpot preferred) with accountability for data quality outcomes.
  • Knowledge and/or experience with Industrial Services, NDT, and Nuclear industry terms and conditions is considered an asset.
  • Understanding of industry competitors, customers, regional/divisional service lines, and commercial drivers is considered an asset.
  • Experience collaborating with marketing teams on content, campaigns, or lead generation is considered an asset.
  • Proactive, ownership-oriented mindset — this role leads the inbound funnel, it does not wait for direction.
  • Effective interpersonal, communication, and consulting skills to interact with individuals at all levels of the organization and with Acuren customers.
  • Advanced organizational and time management skills to manage multiple concurrent priorities, deadlines, and follow-up requirements in a high-volume environment.
  • Strong CRM discipline, including accurate data entry, auditing, cleansing, and consistent follow-through on lead and opportunity records; HubSpot experience strongly preferred.
  • Strong written and visual content coordination skills with high attention to detail, accuracy, and consistency.
  • Experience coordinating events, trade shows, or conferences including logistics, outreach, and follow-up.
  • Ability to collaborate with marketing teams on content creation, lead quality feedback, and digital campaign support.
  • Sound judgment to prioritize independently within defined authority and escalate decisions or gaps when required.
  • Ability to manage competing priorities, high-volume communication, shifting deadlines, and cross-functional coordination.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook; experience with HubSpot or a similar CRM platform is preferred.
