Position Summary
We are seeking a Licensed Assistant / Practice Manager to become the operational backbone of our practice. This is a senior role for a highly organized, detail-driven professional who will direct the day-to-day operations of our team, manage critical compliance workflows, and serve as the central point through which client service and practice priorities flow.
You will execute client trades, oversee KYC and account administration, manage a small support team, and ensure every commitment to our clients is met with precision. Over time, you will pursue your MFDA Dealing Representative licence and grow into an expanded client-facing role within the practice.

Key Responsibilities
- Execute client trade requests daily with accuracy and within regulatory timelines
- Manage recurring compliance tasks: KYC updates, account reviews, high cash balance monitoring, account openings and transfers
- Track and manage estate settlements from initiation through to completion
- Monitor key practice KPIs — client appointments, pipeline, CE credit tracking, and compliance deadlines
- Maintain working knowledge of registered accounts: TFSAs, RSPs, RRIFs, RESPs, and non-registered accounts
- Serve as the point person for client requests, executing directly where appropriate or routing to the advisor with full context
- Provide daily direction to support staff, ensuring the team is aligned on priorities
- Manage staff scheduling, including vacation and sick day tracking
- Oversee the flow of information between clients, the advisor, and internal systems
- Maintain accurate, up-to-date client records within CRM and back-office systems
Qualifications and Experience
- 3+ years of experience in financial services, wealth management, or a professional services environment
- Working knowledge of mutual funds, registered accounts, and dealer compliance requirements
- Demonstrated experience directing, coordinating, or supervising others
- Exceptional organizational skills and the ability to manage multiple priorities without dropping the ball
- Clear, professional communicator, both written and verbal
- High level of discretion in handling confidential client and financial information
- Current or in-progress MFDA Dealing Representative licensing is an asset, but not required at the outset
- Proficiency with Microsoft Office; familiarity with financial back-office platforms is an asset
