Role Overview

The Stewardship Officer, Donor Relations contributes to the development and delivery of donor stewardship and engagement strategies that strengthen donor relationships and support long-term retention at St. Paul’s Foundation. This role is responsible for coordinating and executing stewardship plans, tracking donor commitments and recognition opportunities, and ensuring donors receive timely, meaningful communications that demonstrate the impact of their support. Working collaboratively with fundraisers and colleagues across the Foundation, the Stewardship Officer helps create personalized donor experiences, supports stewardship initiatives and reporting, and identifies opportunities to enhance engagement, recognition, and overall donor satisfaction.

Key Responsibilities

  • Partner with members of the Philanthropy team to deliver meaningful donor recognition and stewardship experiences
  • Collaborate with fundraisers to review donor agreements, stewardship opportunities, and recognition plans, ensuring a coordinated and donor-centered approach to engagement.
  • Develop, implement, and track personalized stewardship plans for major gift donors, supporting long-term relationship building and donor retention.
  • Coordinate timely and personalized donor acknowledgment activities, including letters, emails, and other communications that demonstrate gratitude and impact.
  • Manage the planning and execution of stewardship communications and projects, including the development and monitoring of project timelines and workback schedules.
  • Research, write, design, and distribute donor reports, impact updates, and other stewardship materials that communicate the outcomes of philanthropic support and reinforce accountability.
  • Prepare donor lists and support data reviews to ensure accurate, targeted, and effective stewardship and communication efforts.
  • Identify and implement stewardship opportunities for key donor segments, including major, monthly, loyal, and first-time donors, enhancing engagement and strengthening donor relationships.
  • Maintain and support the ongoing review of tax receipt, acknowledgment, and online giving content, ensuring accuracy, consistency, and alignment with organizational standards and regulatory requirements.
  • Participate in process improvement initiatives and perform additional related duties as required.

Qualifications & Experience

  • Successful completion of a post-secondary degree in Communications, Marketing, Public Relations, Business Administration, Nonprofit Management, English, Journalism, or a related field required.
  • A minimum of 3 years of experience in donor relations, stewardship, fundraising communications, or a related fundraising function required; preferably within a healthcare foundation, hospital, post-secondary institution, or other complex nonprofit environment.
  • Strong written and verbal communication skills, with demonstrated experience developing donor-facing communications, stewardship reports, impact stories, and recognition materials.
  • Experience managing multiple projects and competing priorities, with strong organizational skills and attention to detail.
  • Proficiency with donor databases and CRM systems, preferably Raiser’s Edge, as well as advanced skills in Microsoft Office applications.
