Elk Island Public Schools (EIPS) is seeking a qualified, full-time Administrative Assistant to join our team in a permanent, year-round capacity.
This role supports the smooth day-to-day operations of the division by providing a range of general administrative services to the Office of the Superintendent. We are looking for an organized, detail-oriented, and professional individual to handle the general flow of information, support operational processes, and coordinate events. - Commencing August 10, 2026 (Negotiable)
- Year-round position working 37.5 hours per week (7.5 hours per day)
- Compensation: Starting at $25.30 per hour PLUS a comprehensive benefits package
- Location: Central Services Office (683 Wye Road, Sherwood Park)—a collaborative hub of 190 professionals dedicated to excellence.
Key Responsibilities
- Administrative & Office Support: Liaise professionally with internal and external stakeholders via phone, email, MS Teams, and in person. Manage calendars by identifying priorities, resolving conflicts, and scheduling events or booking facilities.
- Meeting Coordination: Provide essential meeting support, including planning, preparing agendas, organizing documentation, recording and distributing accurate minutes, and following up on action items.
- Operational Collaboration: Coordinate communication between departments, schools, and service units to ensure alignment, collaboration, and timely responses to inquiries (e.g., resolving IT or data-related issues). Monitor and order office supplies and coordinate equipment maintenance.
- Budget & Financial Support: Assist with financial duties, including processing accounts payable/receivable, preparing receipts/invoices, completing journal entries, and submitting monthly departmental expenses (mileage, purchase cards). Assist with monitoring transactions and tracking budget expenditures.
- Records Management: Support departmental document management (handbooks, forms, procedures). Facilitate the secure maintenance, retrieval, and compliant disposal of records and files in accordance with the Access to Information Act (ATIA) and the Protection of Privacy Act (POPA).
Education
Preferred: Diploma or Certificate in business administration, office management, or a related equivalency.
- Minimum Required: High School Diploma plus related, recent administrative experience.
Experience
- Minimum Required: 0-3 years of similar recent administrative experience.
- Preferred: Previous administrative experience working within a school division.
Knowledge, Skills and Abilities
- Adaptability & Organization: Strong prioritization, multitasking, problem-solving, and time-management skills. Able to adapt and manage change effectively amidst frequent interruptions.
- Communication & Professionalism: High level of integrity, business professionalism, and discretion in dealing with confidential and sensitive information. Excellent oral and written communication skills
- Tech-Savvy: Proficient in Microsoft Office Suite, emerging technologies, and web-based applications.
- Preferred Systems Knowledge: Familiarity with EIPS systems such as PowerSchool, Spend Dynamics, Atrieve, SharePoint, and Permission Click is an asset, alongside a foundational knowledge of ATIA and POPA privacy principles.
- Experience preparing meeting agendas, minutes and in editing professional documents and reports.
