Legal Administrative Assistant - Estate Planning & Administration

Our client, a boutique law firm in Vancouver, is seeking an experienced Legal Administrative Assistant to join their busy Estate Planning and Administration team. The firm practices in estate administration, trust and estate planning, tax planning, and estate/tax litigation.

This role is ideal for a confident communicator who demonstrates sound judgment, maintains strict confidentiality, and collaborates effectively both in-office and remotely.

Key Responsibilities

  • Draft and prepare routine correspondence and legal documents
  • Manage files, including opening files, conflict checks, filing, and closing files
  • Coordinate email and calendar management
  • Maintain bring-forward (BF) systems
  • Respond to a high volume of client inquiries via phone and email
  • Schedule meetings and send invites and reminders
  • Time entry, billing, and accounts receivable follow-up
  • Upload and download electronic documents
  • Manage incoming and outgoing mail
  • Prepare expense reports
  • Communicate regularly with clients
  • Maintain wills and safekeeping documents in firm vaults
  • Perform additional administrative duties as required

Qualifications & Attributes

  • Minimum 5 years of experience as a Legal Administrative Assistant supporting lawyers
  • Strong client-service orientation with excellent written and verbal communication skills
  • Highly organized with the ability to prioritize and manage competing deadlines
  • Exceptional attention to detail and accuracy
  • Proficient in Microsoft Office (Word, Excel, Outlook)
  • Demonstrates sound judgment, discretion, and confidentiality
  • Thrives in a fast-paced environment while maintaining composure under pressure
  • Self-motivated, proactive, and able to anticipate next steps
  • Works effectively both independently and as part of a team

Compensation & Benefits

  • Salary range: $60,000 – $80,000
  • Comprehensive health and dental benefits
  • Paid sick and personal time

This is a full-time, permanent, primarily in-office position with the possibility of some remote flexibility.
