Creative Project Coordinator - Freelance
We are looking for a Creative Project Coordinator to manage day-to-day operations for the Creative Director and the clients. As the operational anchor for our client's projects, ensuring that each project moves efficiently through the proper channels, and back , to the right clients, effortlessly.
Working closely with the CD, this role bridges clients, outsourced talent, and internal teams to maintain seamless communication, clear documentation, and timely execution. The position supports all processes, including overseeing trafficking of assets for review, project tracking, and scheduling from brief through to completion.
The Project Coordinator plays a vital role in sustaining and maintaining the relationship with our clients by ensuring every project is organized, precise, and professionally managed.
This position is 100% remote, so you need to be able to WFH.
Responsibilities
- Oversee projects from kick off to delivery for multiple clients.
- Communicate regularly with clients, freelancers, and the internal team, delivering timely updates and client progress reports.
- Coordinate schedules, and timelines to keep projects on track.
- Track all projects, files, and client correspondence to ensure accuracy and budget alignment.
- Maintain organized documentation, including notes from meetings, and asset delivery records.
- Anticipate delays or issues, propose solutions, and communicate proactively with team members.
- Align project details with our CD to update project priorities, and client communication.
- Manage multiple projects simultaneously with precision, and consistent follow-through.
- Contribute to ongoing improvements in project systems, documentation, and workflow.
Requirements
- Experience in project coordination, design operations, and video creation.
- Strong knowledge of processes, lead times, and project tracking in the tech or entertainment industry.
- Proficiency with Microsoft Office Suite, including Excel, and Adobe Acrobat.
- Familiarity with project management software such as Monday and creative tools such as Adobe.
- Excellent communication and organizational skills with meticulous attention to detail.
- Self-motivated and dependable with proven ability to manage competing priorities in a fast-paced setting
The position requires reliability during standard PST business hours and coordination with creative teams to maintain project flow and client satisfaction.
