Maple Reinders is seeking a highly skilled and motivated Proposal Manager to join our dynamic and forward-thinking publications team in Mississauga, Ontario.

The Proposal Manager will be responsible for leading Proposal development for standard and highly complex bids, and for coordinating pursuit teams in the prequalification, proposal and tender development process for public and private entities for all company departments and offices nationally.

Key Responsibilities

Proposal Development

  • Working in concert with the Project Directors manage process of compiling and preparing materials for pre-qualifications and proposals, ensuring that client's requirements are fully met.
  1. Conducting research for appropriate materials.
  2. Reading the tender document (RFP/RFQ/EOI, etc.) and analyzing requirements.
  3. Writing and editing sections of the templates.
  4. Assemble hard and soft copies ensuring timelines are met.
  • Able to complete proposals for all delivery methods – Lump Sum, DB, CM, P3/AFP and others
  • Participating with Project Directors in the selection of appropriate projects and staff to be included in proposals, pursuant to the proposal/prequalification requirements.
  • Assist Project Directors in developing overall proposal strategy.
  • Coordinate/manage outside consultant partners’ contributions to joint proposals.
  • Participating in business development meetings and working with Sales and Marketing when required.
  • Be responsible for the quality of work produced by the Proposal Department including standardizing proposals and proofreading/editing of contents for proper grammar, spelling, comprehension and style
  • Ability to handle multiple bids concurrently.
  • Regularly follow-up with support staff from each division to update materials.
  • Assist in the development and management of the proposal library and filing system.
  • Facilitate the multiple proposal efforts, including creating /maintaining up-to-date tracking lists, arranging meetings, and keeping action lists current, ensuring the most current status information is available to other team members at all times.
  • Ability to create and modify required graphics/ arts materials to be included in submittals.

Proposal Library Administration

  • Assist in implementation of system project profiles, and the collection of project specific information.
  • Produce graphics and layouts for publications using existing corporate template guidelines.
  • Implement project close-out procedures for ease of future content retrieval
  • Ensure that the Maple Reinders brand guidelines are being followed, and that appropriate templates, images and copies are up to date.

Qualifications

For this role, you must have the following qualifications and demonstrated experience:

  • A minimum of 5 years experience in the construction sector in a similar role.
  • College diploma or University degree, in a related field, or an equivalent combination of related education, training and expertise.
  • Fluent in English, with excellent writing and proofreading skills
  • Strong understanding of the Adobe Suite, Adobe Photoshop, Illustrator and InDesign and the ability to develop creative content.
  • Proficient in MS Office and Windows-based computer applications (Word, Excel, Outlook, etc.).
  • Knowledge of ICI and/or water/ wastewater treatment construction.
  • Actively builds proficiency in artificial intelligence tools, with a focus on their ethical, responsible, and compliant use to enhance proposal development and delivery.
  • Proficient communicator experienced in writing creative or technical copy, press releases, sales collateral, internal communications and advertising copy for a variety of media including print and online.
  • Valid driver's license and access to a vehicle on a regular basis for travel to sites or other offices.

Salary Range: $85,000 - $95,000 / Year (depending on experience)

Location: Mississauga, Ontario
