Position Summary

The Finance Assistant ensures the efficient and accurate preparation and processing of accounts payable (AP), accounts receivable (AR), individualized funding claims, banking and monthly procedures according to generally accepted accounting principles and practices.

All employees are responsible for promoting and implementing Ongwanada’s mission, vision, values, and service principles, and for fulfilling responsibilities in accordance with all applicable legislation, policies, and procedures.

Primary Duties And Responsibilities

Accounts Receivable

  • Prepare customer invoices and process accounts receivable transactions
  • Process deposits, electronic fund transfers (EFT), cash, and credit card payments
  • Monitor account balances and complete collection activities
  • Investigate and resolve payment discrepancies
  • Respond to billing inquiries from supported individuals, managers, and stakeholders
  • Maintain customer records and perform month-end receivable procedures

Accounts Payable

  • Review and process vendor invoices for completeness, accuracy, and approval requirements
  • Prepare payments by cheque or EFT
  • Reconcile vendor accounts and resolve discrepancies
  • Maintain vendor records and files
  • Complete month-end accounts payable procedures

Payroll & Funding Administration

  • Analyze and post payroll transactions and accruals to the general ledger
  • Reconcile payroll-related accounts and investigate discrepancies
  • Prepare and submit individualized funding claims and invoicing
  • Review transactions for funding eligibility and ensure system balances are maintained
  • Respond to inquiries related to Passport funding and claims administration

Banking & Accounting Operations

  • Complete bank reconciliations and monthly accounting procedures
  • Reconcile general ledger and intercompany accounts
  • Prepare recurring journal entries and government remittances
  • Identify discrepancies and recommend resolutions
  • Support monthly financial reporting activities

Financial Records & Administration

  • Maintain petty cash and related accounting records
  • Create and maintain financial spreadsheets and filing systems
  • Maintain program and client-related financial accounts
  • Respond to inquiries from supported individuals, staff, and management
  • Provide support and back-up coverage for other finance functions as required

Year-End & Audit Support

  • Assist with year-end reconciliations, schedules, and reporting
  • Support annual audit activities as required

Skills Required

  • Excellent administrative and clerical skills
  • Excellent time management, task coordination, multitasking, and organizational skills
  • Effective understanding of confidentiality and privacy requirements
  • Effective electronic and paper records management skills
  • Superior proficiency in technology, including software applications, database entry, and report generation

Education/Qualifications Required

  • Diploma, Advanced Diploma, or Degree in Accounting, Business Administration with a specialization in Accounting, or Finance

Experience Required

  • 2–4 years of accounting experience using current accounting systems, principles, and practices
  • English/French verbal and written skills considered an asset
  • Experience with Sage or related account software is considered an asset

Effort Required

  • Sitting for prolonged periods in meetings or at a desk/computer
  • Day-to-day activities may lead to minor stress
