Marketing Coordinator

POSITION SUMMARY: This position is responsible for supporting and executing the Company’s marketing, business development, and client engagement initiatives. Responsibilities include branding, content creation, proposal coordination, CRM administration, social media management, website maintenance, marketing materials development, event coordination, and related administrative activities. The Marketing Coordinator helps promote the Company’s projects, people, culture, and achievements while supporting business development efforts and strengthening client relationships.
Responsibilities
Marketing & Brand Management
- Maintain and strengthen corporate branding across all marketing and communication materials
- Contribute to the development and execution of the Company’s marketing and advertising strategies
- Update and manage marketing materials, including corporate profiles, resumes, brochures, project sheets, presentations, and promotional materials
- Coordinate the ordering and distribution of promotional items and branded merchandise
- Coordinate and execute advertising initiatives, including media placement and promotional campaigns
- Prepare and monitor the marketing budget as directed
- Draft and edit copy for campaign materials, including social media posts, posters, promotional displays
Business Development & Client Support
- Assist in the preparation, formatting, graphic design, and coordination of construction management proposals, budget proposals, qualification packages, presentations, and client-facing documents
- Prepare, coordinate, and submit RFP, RFQ, and tender response packages, ensuring all required documentation is assembled and submitted in accordance with submission requirements and deadlines; track opportunities, submissions, and success ratesCompile and maintain accurate project information, resumes, project profiles, and supporting documentation for business development pursuits
- Maintain and administer the Company’s CRM system, including setting up opportunities, updating client and project information, ensuring data accuracy, and generating reports to support business development activities
- Support client onboarding activities by preparing project and client information packages as required
- Coordinate meetings, presentations, and follow-up activities between Company representatives and clients
- Maintain professional and responsive communications with clients, consultants, and industry partners
Content Creation & Social Media
- Create, coordinate, and publish engaging content and campaigns across the Company’s social media platforms to promote projects, employees, company culture, community involvement, and corporate achievements, while enhancing brand awareness and audience engagement
- Administer and maintain the Company’s social media channels
- Monitor social media activity and assist with responding to inquiries and engagement opportunities
- Administer and maintain the Company blog and other digital communication channels
- Oversee coordination of photography and videography for marketing and promotional needs, including scheduling, shot lists, and usage approvals
Website & Digital Platforms
- Maintain and update the Company website, including project information, employee profiles, company news, photographs, and career opportunities
- Coordinate website updates and improvements with external service providers as required
Events & Community Engagement
- Plan, coordinate, and execute Company events, client appreciation events, community initiatives, and industry trade shows
- Represent the Company at community, client, and industry events as required
- Assist with event logistics, registrations, promotional materials, and post-event follow-up activities
Administrative Support
- Maintain marketing files, photography libraries, templates, proposal content library, and related marketing resources
- Support marketing analytics efforts by compiling reports, marketing trends
- Support special projects and other marketing-related initiatives as assigned.
Qualifications
- Post-secondary education in Marketing, Communications, Public Relations, Business Administration, Graphic Design, or a related field
- Experience working within the construction, development, engineering, architecture, or professional services industry is considered an asset
- Experience supporting proposal submissions, business development initiatives, or CRM systems is considered an asset
- Excellent graphic, verbal, written, and interpersonal communication skills
- Strong creativity and content development skills
- Strong interpersonal skills with the ability to build relationships with external vendors, suppliers, consultants, clients, and internal stakeholders
- Proficient in Microsoft Office Suite and Adobe Creative Suite (InDesign, Photoshop, Illustrator)
- Experience managing social media platforms and website content is considered an asset
- Strong organizational and time management skills with the ability to manage multiple priorities and deadlines
- Strong attention to detail and commitment to producing high-quality work
- Ability to work independently and collaboratively in a fast-paced environment
- Video production, photography, and content development skills are an asset.
