Production Coordinator

About the Role
McGillivray Group is a marketing & media company specializing in brand partnerships and creative production. We are hiring a full-time Production Coordinator to join our in-house team.
Reporting to the Senior Producer, the ideal candidate has experience in branded content including short-form digital, commercial, web series, and social-first work, either through an agency or client-direct production background. Please note: this is not a television production role.
What You'll Do
- Coordinate crew, talent, equipment, locations, travel, and production logistics
- Create and distribute call sheets, production briefs, contact lists, meeting notes, and status reports
- Support budget tracking, purchase orders, invoices, and production accounting
- Coordinate approvals, feedback rounds, deliverables, and final asset distribution
- Act as a point of contact for internal teams, freelancers, vendors, and production partners
- Support producers on shoot days by managing logistics, coordinating crews and vendors, and troubleshooting in real-time
- Catch scheduling conflicts, resource gaps, and risks before they impact delivery
- Help improve internal workflows, templates, and production processes
- Support the day-to-day operations of the production team by keeping systems, resources, and production assets organized and accessible
- Maintaining project dashboards, trackers, or reporting systems
Requirements
- Minimum 5-years experience in a similar role
- Exceptional communication and interpersonal skills
- Ultra-organized with strong time management across multiple concurrent projects
- Strong critical thinking, problem-solving, and attention to detail
- Working knowledge of production accounting fundamentals
- Ability to work independently and take ownership of responsibilities
- Steady under deadlines, shifting priorities, and fast-paced productions
Bonus: Project Management Experience
This is a production coordinator role at its core, but project management skills are considered an asset
- Experience building project workbacks and production schedules
- Experience independently managing project timelines and deliverables
- Understanding of production budgets or experience drafting them
