Join the City of Beaumont as an Administrative Assistant, Infrastructure & Engineering and play a key role in supporting municipal infrastructure projects, engineering operations, and departmental coordination that help shape our growing community.
What YOU’RE Responsible for
- Provide direct administrative support to the Director, Infrastructure & Engineering and departmental leadership, including scheduling, correspondence, meeting coordination, and document preparation
- Coordinate departmental records, council reports, technical documentation, project files, and administrative workflows to support infrastructure and engineering operations
- Support consultants, contractors, developers, internal departments, and residents through professional communication and customer service
- Assist with capital project administration, document control, reporting, invoice coordination, purchase requisitions, and budget tracking activities
- Coordinate meetings, presentations, agendas, minutes, action items, and departmental communications
- Maintain tracking systems, databases, spreadsheets, and records management processes in accordance with corporate and legislative requirements
- Support public and council inquiries related to infrastructure projects, permitting development coordination, and municipal infrastructure programs
- Assist with onboarding, training coordination, IT requests, and other departmental administrative processes
What YOU Bring
- Diploma in office administration, business administration, public administration, project administration, or a related field
- Minimum of 3 years progressively responsible administrative experience, within a municipal, engineering, infrastructure, construction, or project-based environment
- A combination of education and experience that demonstrates equivalency may be considered
- Experience supporting senior leadership and coordinating multiple priorities in a fast-paced environment
- Strong organizational, customer service, problem solving, communication, and time management skills
- High degree of accuracy and proficiency within the Microsoft 365 environment
- Experience building and maintaining records management systems, tracking tools, financial documentation, and project-related administrative processes
- Ability to work independently while collaborating effectively with internal teams and external stakeholders
- Ability to communicate professionally and effectively with consultants, contractors, developers, residents, and staff
- Experience working with technical documentation, municipal processes, or project coordination
- Familiarity with GIS systems, records management systems, or project tracking software
- Experience supporting infrastructure, engineering, construction, and/or capital project environments
- Valid Class 5 driver’s license (or equivalent)
Working Conditions
- This position operates primarily within an office environment with frequent interruptions, competing priorities, and time-sensitive requests
- The role involves regular interaction with residents, consultants, contractors, and internal departments, occasionally involving sensitive or escalated inquiries
- Occasional attendance at operational sites, meetings, or events outside a standard office setting may be required

- A salary range of $57,803.20 - $ 75,439.00 per annum (based on experience and qualifications)
