About the role

We are seeking a mature, reliable, and detail-oriented Administrative Assistant who is fully bilingual in French and English to support our administrative, accounting, and sales-support operations.

This role requires a high level of professionalism, discretion, and integrity, as the successful candidate will handle confidential employee, financial, and operational information and will also support the vehicle sales process, including driving company vehicles when required.

Key Responsibilities

  • Process accounts payable and receivable transactions accurately and on time
  • Assist with reconciliations and basic financial reporting as required
  • Provide a high level of costumer service to internal and external stakeholders
  • Greeting and directing visitors as well as answering and routing incoming calls
  • Respond to inquiries promptly, professionally, and respectfully in both English and French
  • Support daily office operations and promote an organized work environment
  • Prepare, format, and maintain reports, letters, and internal documents
  • Create, organize, and maintain electronic and paper filing systems
  • Ensure records are accurate, up to date, and easily retrievable
  • Handle confidential and sensitive information with discretion and integrity
  • Drive company vehicles as part of our quality control process

Qualifications & Skills

  • Fluent in English with strong professional writing proficiency. Proficient at a conversational level in French.
  • Proven administrative experience
  • Post secondary education combined with administrative experience is considered an asset
  • Accounts payable and receivable experience is considered an asset
  • Ability to manage multiple tasks independently in a fast-paced manufacturing environment
  • Strong records management, organizational skills, and attention to detail
  • Intermediate level of proficiency in Microsoft Office and high attention to detail
  • High level of integrity, discretion, and customer service orientation
  • Collaborative and positive team contributor
