The Opportunity

The Audience Services Coordinator provides the logistical, administrative, and operational support required for events supported by the Audience Services department. The Audience Services Coordinator (ASC) position handles various functions of the Box Office and Front of House departments to achieve event and public engagement objectives. The role is intended to be a visible and critical aspect of the delivery of the vision and values of the Banff Centre for Arts and Creativity. This position will support events including the Banff Centre Mountain Film and Book Festival and Banff Summer Arts Festival

Roles and Responsibilities

The Audience Services Coordinator reports directly to the Manager of Audience Services. Below are some key responsibilities:

  • Assist Audience Services Manager in all areas of Audience Services administration and coordination.
  • Maintain accurate filing/records management systems in alignment with the standards and procedures required by Audience Services.
  • Provide training on procedures and policies to casual and hourly labor staff in Audience Serves.
  • Conduct ticket sales, manage guest lists and holds for performances, distribute post-show attendance / sales reports and prepares/distributes custom Audience Services reports for grant and funding requirements
  • Handle Basic financial reporting functions, accurately conduct cash & patron counts, and solve minor math challenges such as calculating performance settlements
  • Greet and engage with patrons, scanning tickets and handing out programs, assisting audience members when finding their seats etc.
  • Ensure the operational condition of physical assets such as scanners, stanchions, floats, signage etc.
  • Set up lobby and auditorium spaces prior and post events, coordinate seating in performance spaces, prepping wheelchair accessible seating and coordinating special requests
  • Oversee merchandise sales including reconciliation, reporting & scheduling/training of ushers for that purpose, and accounting/ reconciliation for sales.
  • Assist FOH staff (and Security Team) deal with patron issues and emergencies, including but not limited to intoxication, health issues, power failure or fire; theatre evacuation, medical emergency, patron distress and implementing necessary measures required by the emergency.
  • Provide exceptional customer service delivery and demonstrate the ability to find solutions to problems when dealing with difficult or challenging individuals
  • Responsible for training and supervision of casual Usher/Ticket Seller teams.
  • Assist in the scheduling of Casual Front of House Ushers for ticketed and non-ticket events, and for Casual Ticket Seller Teams based upon On Sale / High Demand periods.
  • Ensure workplace and public areas are safe for team members and the general public. Complete and submit incident reports when required.
  • Additional duties as assigned.

Qualification and Educational Requirements

  • 2+ years’ experience working in an events capacity/event management focus
  • Proven problem solving with ability to think and act quickly and responsibly with a customer focus
  • Ability to learn ticketing software to expert level is required
  • Proficient with Microsoft Office (e.g., Word, Excel and Outlook)

Special Requirements

  • Due to the nature of the job, this position requires the candidate to be available to work a flexible, irregular schedule, and weekends.

Employment Terms & Benefits

  • In accordance with CUPE 4318, this is a unionized, hourly support staff position, subject to a 500 hour probationary period.
  • This position pays $25.75 per hour working up to 40 hours per week on a rotating schedule.
