The Role
OpenForm Properties to looking for an Office Manager to take a leadership role. The Office Manager will ensure our offices is running effectively on a day-to-day basis and be involved in a range of activities, from monitoring health and safety to assisting with HR. You would be the ‘go-to’ person in the organization as you would work closely with many departments and understand how they operate.
What You’ll Do
- Overseeing general office operations, sorting mail, and answering and directing guests and phone calls
- Organizing meetings and managing databases
- Booking transport and accommodation
- Organizing company events and conferences
- Ordering office stationery and kitchen supplies
- Dealing with correspondence, complaints, and queries
- Preparing letters, presentations and reports
- Processing invoices and managing office budgets
- Provide administrative assistance to the executive team
- Implementing and maintaining procedures/office administrative systems
- Organizing induction programs for new employees
- Act as company Occupational Health and Safety Representative ensuring that health and safety policies are up to date and communicated
- Attending meetings with senior management
- Managing joint employment perks with OpenRoad Auto Group
- Managing relationship with Landlord
- Take responsibility for the upkeep of the office and ensure all shared office equipment is functioning properly (in connection with IT and AV consultants)
- Assisting the organization’s HR arranging interviews and using BambooHR
- Distribute project reports to partners and shareholders
What You Bring
- 3 to 5 years of experience in an office environment
- Have a strong understanding of office systems and be comfortable dealing with a wide range of issues in a patient and professional manner
- Reliability and discretion: you will often learn of confidential matters
- Adaptability
- Excellent communication, negotiation, and relationship-building skills
- Organizational skills
- Problem solving skills
- Initiative
- Leadership and the ability to ‘make things happen’
- Budgeting skills
- Attention to detail
- Proficiency in Microsoft Office and other office technology
- Experience with scheduling and budgeting
- Comfortable working in a fast-paced environment
- Experience planning events for internal staff and vendors
