Life Collective Counselling is a relationship and sex therapy psychology clinic offering counselling, workshops, and education for individuals and couples. We’re looking for a Clinic Manager who brings strong leadership, operational clarity, and a people-first mindset. This role is central to ensuring our clinics run smoothly, our team feels supported, and our client experience remains exceptional.

About the Role

This is a full-time, in-person leadership role overseeing the day-to-day operations of two clinic locations. Reporting to the Clinical Director, the Clinic Manager is responsible for managing and supporting the Client Care Administrator team, optimizing administrative systems, and maintaining a high standard of client care.

You’ll balance hands-on operational work with strategic oversight, ensuring efficient workflows, scalable systems, and the team is set up for success. This role also coordinates and oversees events, including workshops, groups, and retreats. This position requires sound judgment, discretion, and the ability to work confidently with highly confidential information.

Key Responsibilities

  • Team Leadership & Supervision
  • Lead, support, and supervise the Client Care Administrator team
  • Provide onboarding, training, and ongoing performance feedback
  • Foster a collaborative, accountable, and supportive team environment
  • Manage scheduling, coverage, and workflow across two clinic locations

Clinic Operations

  • Oversee day-to-day operations to ensure smooth, consistent client experiences
  • Manage and optimize systems within Jane App for scheduling, billing, and reporting
  • Maintain accurate records, workflows, and administrative processes
  • Coordinate with therapists and leadership to support clinic needs

Administrative Oversight

  • Ensure high standards in client care processes, billing, and documentation
  • Oversee office systems, supplies, and vendor relationships
  • Support internal coordination across clinicians, admin, and leadership
  • Identify and implement process improvements to increase efficiency

Event & Program Coordination

  • Oversee planning and execution of workshops, groups, and retreats
  • Coordinate logistics including scheduling, materials, communication, and setup
  • Liaise with internal team members and external partners/vendors as needed
  • Ensure a seamless and high-quality experience for attendees

Strategic Support

  • Contribute to operational planning and clinic growth initiatives
  • Identify gaps, inefficiencies, and opportunities for improvement
  • Support implementation of new systems, workflows, or service offerings
  • Act as a key liaison between the administrative staff and leadership

  • larger events like workshops and retreats.
  • Most of all, you understand the importance of creating a safe, supportive, and well-run
  • environment for both clients and staff.

Required Qualifications

  • Proven supervisory or team leadership experience
  • Bachelor's degree in business administration, Human Resources or similar
  • Experience working with Jane App (required)
  • Strong organizational and operational management skills
  • Ability to manage highly confidential information with discretion
  • Proficiency with Google Workspace

  • Understanding of marketing or client engagement strategies
